Frequently asked questions

Answers to the questions SENCOs ask us most about SEND Assistant, and about Form 8, Form 8 RF and Form 9. If yours is not here, get in touch and we will answer it.

What is the process to complete the forms?

  1. Add staff details by uploading a csv. You will need names, email addresses and subjects taught.
  2. Add candidate details. You will need names; candidate numbers and dates of birth.
  3. Invite staff to send feedback for individual candidates.
  4. Complete a SENCO specialist questionnaire for each candidate.
  5. Upload the assessor's spreadsheet (we provide a template).
  6. Generate your Form 8, Form 9 or Form 8 RF.

How long does it take to generate the forms?

The results can be available almost immediately after the information is added. You can also remind teachers to contribute, and update the status until you are satisfied that you have received all the information.

How long does the training take?

The training is simple — just 10 minutes to learn how to navigate the site. See the form created in real time, and judge the quality of the narrative created. Your consultant will support you to master this within minutes.

Is my data safe? How safe is the site?

Your data is safe with us.

We are focused on safety and security, from both physical and electronic security perspectives. We have contracted cyber security experts to provide us with advanced cyber security, reducing any risks to security breaches. We also provide two-factor authentication for SENCOs, because your data matters to us. In fact, it matters so much that we have chosen to ensure that we have a robust privacy management system in place, engaging expert assistance to ensure our organisation is GDPR compliant.

  • We do not sell your information to third parties.
  • We do not keep your data for any longer than is strictly necessary.

Who will have access to this information?

The only people who can access this will be the SENCO and designated staff. No other person will have access to your data. Your unique centre number means that you are the only person who can access the data that you add. Teachers will not have access to the forms, and you can decide when the forms should be deleted.

How long will it take for the SENCO or teacher to fill in the form?

We have simplified the process, so that each statement requires only a True or False response. There are at least 18 statements for teachers and 20 statements for the SENCO. From start to finish, this should take no more than 3 minutes per student.

What happens if I need to change the information or the form (like changing from Form 8 to Form 9)?

You can fill in any information which becomes available to you after completing the form. All you need to do is regenerate the form, rather than completing the whole process again. No longer need the Form 8? Simply fill in a new SENCO questionnaire for Form 9.

Do all schools pay the same amount, irrespective of size?

We follow a tiered pricing system, which means that smaller schools only pay for what they need. Quotes are based on the number of forms that you need to create. They are sold in bundles of 10, and cost £10 for each candidate. We also put a cap on the maximum charge, so very large schools will only pay the top limit of £2,000, which could result in a charge of under £2 per candidate.

Is this process compliant with JCQ regulations?

We provide statements to help you to describe the candidate's needs. The process is streamlined through technology, but the statements have been created by a SENCO, after years of perfecting which evidence should be selected. All the statements are developed with the JCQ regulations in mind, and only the relevant information has been included.

How do we include the rare or unusual cases that we might have?

We know that there are situations that you might only encounter once. We have added in a section that will allow you to copy the relevant information provided, and paste it onto the Form 9. This covers both mental and physical long-term conditions. The information is organised in a way that allows you to see what you actually need, saving you from sorting through endless amounts of information.

Where do we get evidence of normal way of working from?

We combine the feedback from teaching staff, which you can download at the end of the process. It will show all the information received, in an easy-to-understand format.
